I think it’s safe to say that we often feel we have too much to do and not enough time.

When the tasks pile up and the time trickles out, it can create a sense of overwhelm, tiredness, and burnout. Often, business owners assume this is just part of the package – but it doesn’t have to be.

So, I wanted to share some tips and tricks to help you get through things quickly, effectively, and ultimately be more productive.

The problem that we see among many practice owners is that people are taking on too much at once.

For example, if I threw you a tennis ball, you’d likely catch it.

If I threw two, you may catch both but or more likely just the one.

If I threw a dozen tennis balls, you probably wouldn’t know where to look or focus and you’d drop them all!

It’s exactly the same in business – often practice owners are trying to accomplish a dozen things at once and things end up falling through the cracks.

So, how do we stop fumbling and start focusing?

 

1. I want you to put pen to paper and make a list of everything you have underway at the moment. All your projects, to-do lists, spinning plates, and half-finished tasks. Let’s get it out of your brain where it’s accumulating clutter, and get it down on paper.

 

2. Triage and prioritise – what can you go without? What absolutely has to be done? What can be delegated? When it comes down to it – what are the one or two things that urgently and significantly require your attention and focus?

 

3. From there, focus on finishing things. Let the other little fires burn, but focus on completing and wrapping up the one or two highest priorities. This is ultimately where you stop starting, and start finishing. But of course, this begs the question “where do I find time for this?”

 

4. We pre-block and time partition our appointment book, so why not do the exact same with our other projects and personal calendar?  We need to allocate specific time in our working week to focus on these high-value activities. When you’re using that time, you’re focused, in the zone, and in flow to finish those projects and work effectively.

 

5. Scheduling can be a mountain in and of itself – so be sure you’re not over scheduling yourself. It’s impractical to schedule every second of  every day, so allow yourself flexibility so that your allocated time doesn’t get lost to other issues. You can do that by allocating time for your friends and family, for rest, for health, for self-care – so that you don’t burnout and end up falling through on your project time.

 

So, those are the five steps to stop starting and start finishing. Now, it’s time to roll up your sleeves and get to work!
